Privacy Policy

• Account data. Your name, email address, and password hash. If you sign in with Google, we receive your name, email address, and profile picture from Google.
• Workspace data. Organization names, members, invitations, roles, projects, and track assignments.
• Content you upload or create. Videos, audio, subtitle files, transcripts, translations, and review comments.
• Billing data. Your plan, subscription status, and invoices. Stripe processes card details. We do not see or store your full card number.
• Technical data. Session records with IP address and browser user agent, used to keep your account secure. API keys you create are stored as hashes.
• Integration data. If you connect a Cloudflare account, its account ID and an encrypted API token.

We do not use advertising trackers, and we do not sell your data.

When you choose “Continue with Google”, we ask Google only for the basic sign-in scopes: openid, email, and profile. We use this data only to create your account, sign you in, show your name and picture in your workspace, and match you to invitations sent to your email address. We do not request access to your Gmail, Drive, Calendar, contacts, or other Google data.

CaptionsHero’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not use it to train AI models.

• To create your account and sign you in.
• To store, play, transcribe, translate, and export your videos and subtitles.
• To let organization members invite each other, assign work, review, and approve tracks.
• To process payments and manage your subscription.
• To send account email: verification, password reset, invitations, and workflow notifications.
• To prevent abuse and keep the service secure.

We share data only with the providers below, and only to operate CaptionsHero. Most providers process data on our behalf. Google and Stripe also handle data under their own privacy policies. We have opted out of model training with ElevenLabs and OpenAI, so they do not use your content to train their models.

• Cloudflare — hosting, file storage, database connections, and account and notification email.
• ElevenLabs — transcription. We send the audio of a video when you request a transcript.
• OpenAI — translation. We send subtitle text when you request an AI translation. We do not send Google user data.
• Stripe — payments and billing.
• Google — sign-in, if you choose it.

If you connect your own Cloudflare account, we send videos and subtitles to that account when you import or publish. That data is then under your Cloudflare account terms.

Our providers can process data in the United States and other countries outside your own. Where the law requires it, we rely on their data processing terms, such as standard contractual clauses, to protect transfers.

We can also disclose data when the law requires it, or to protect the rights and safety of our users. If CaptionsHero is sold or merged, your data can move to the new owner under this policy.

We keep your data while your account is active. You can delete your account at any time in Account settings. Deletion is immediate and permanent. It removes your account, your sessions, and your sign-in connections, including Google. It also deletes every organization you are the only owner of, with its projects, videos, and subtitles. Stored files are removed from storage shortly after.

Stripe keeps payment records as financial law requires. You can also email us to ask for deletion. To disconnect Google from CaptionsHero, you can also remove access at myaccount.google.com/permissions.

All traffic uses HTTPS. Passwords and API keys are stored as hashes. Every workspace query is limited to the organization you are a member of.

You can view and change your account data in Account settings. You can ask us for a copy of your data, a correction, or deletion. We answer within 30 days.

CaptionsHero is not for children under 16.

We can change this policy at any time. Changes start when we post them on this page, and we update the date at the top.
