How it helps
A whole library, tracked
The dashboard shows each course's languages: drafted, in review, sent back, or approved. You see who has each lecture and for how long.
AI drafts, human review
AI transcribes each lecture and drafts translations in 82 languages. Your translators fix the draft, and a reviewer approves it.
A price that fits a catalog
Pay one flat price for your organization, with 1,500 or 5,000 AI minutes a month. Seats for your translators are in the price.

“After subtitling 5,819 lectures and managing more than 20 translators, I know the pain: files in email, progress in spreadsheets, and no idea who has what. CaptionsHero fixes all three.”
Lynn ParkCEO, Nomad CodersHow many AI minutes a course needs
A transcription uses the video's full length. A translation uses half of it, for each language.
| Library | Languages | AI minutes | Plan that covers it |
|---|---|---|---|
| 50 lectures of 12 minutes | Transcription and 2 translations | 600 + 600 = 1,200 | Team, in one month |
| 150 lectures of 10 minutes | Transcription and 3 translations | 1,500 + 2,250 = 3,750 | Studio, in one month |
| 500 lectures of 10 minutes | Transcription and 1 translation | 5,000 + 2,500 = 7,500 | Studio, over two months |
Editing, review, and export do not use AI minutes. A track you import or write by hand uses none.
How to start
- 1
Choose Team or Studio
Create an organization and choose a plan. Team has 8 seats. Studio has 20.
- 2
Upload your lectures
Make a project for each course and upload the videos. On Studio, you can also import them from Cloudflare Stream.
- 3
Draft with AI
Transcribe each lecture, then add the languages you need. You can also import your own SRT or VTT files.
- 4
Review, approve, publish
Assign a translator and a reviewer to each language. Export the approved SRT or VTT for your course platform.
Common questions
Which subtitle files does our course platform need?
CaptionsHero exports SRT and VTT. Web video players read WebVTT through the HTML track element. Check your course platform's help center for the format it asks for.
Can we use our own translators?
Yes. Invite them by email. Each translator and reviewer uses one seat of your plan: 8 on Team, 20 on Studio. They do not pay anything.
What if our lectures already have English subtitles?
Import the SRT or VTT files. Each language can start from an imported file, an AI draft, the timing of another language, or a blank page.
What happens when we run out of AI minutes?
AI work stops until your minutes reset next month, or until you upgrade. Editing, review, and export keep working. Unused minutes do not carry over.
Can we publish captions straight to our video host?
On Studio, you can publish approved captions to Cloudflare Stream. For other hosts, export SRT or VTT and upload the file. Our guides show the steps for Vimeo, Wistia, Mux, and Bunny Stream.
